Workplaces: your saved clinics and hospitals

The Organisations page is your personal directory of every workplace you locum at. Save each one once and its details flow straight onto your bookings and tax invoices.

What a workplace record is

A workplace (the dashboard labels them “organisations”) is any clinic, hospital, pharmacy, dental surgery, aged care facility, or allied health service where you do locum work. Sessional lets you keep a saved list of them so you never retype the same details. Each record holds the organisation name, its type, an address, a primary contact, the workplace ABN, and private notes only you can see.

The point is to enter each workplace once. After that, selecting it on a booking or an invoice pulls the name and address through automatically, and every shift you do there is grouped under the same record for your earnings reports.

Adding a workplace

Go to Dashboard > Organisations and use the add form at the top of the page. Start typing the workplace name and pick it from the suggestions to drop the name into the form, then add the type, ABN, address, and contact. You can also type everything by hand. Register-backed lookup that fills the ABN and address for you (from the Australian Business Register) is on the roadmap; for now the name search just saves you retyping it.

The fields are:

  • Organisation name (required): the workplace name, for example “Riverside Medical Centre” or “Western Sydney Local Health District”.
  • Type: GP clinic, specialist clinic, hospital, day surgery, pharmacy, dental clinic, allied health, aged care, community health, or other.
  • ABN (optional): the workplace’s Australian Business Number, printed in the “To” block of your tax invoices. Enter it yourself; you can look up or confirm any ABN at abr.business.gov.au.
  • Address: used on invoices and for your own reference.
  • Contact name and email (optional): the practice manager or roster coordinator you deal with. The email pre-fills the recipient when you send an invoice.
  • Notes (optional): private to you, for things like the clinical software they run, parking, or payment terms.

Only the organisation name is required, so you can add a workplace in seconds and fill in the rest later.

Tip

Add the contact email when you create the record. When you generate an invoice for that workplace, Sessional pre-fills the recipient address from it, so sending the invoice is one click rather than a copy-paste from your inbox.

How saved workplaces auto-fill your admin

A saved workplace does real work for you across the platform:

  • Bookings: pick the workplace on a new shift and the name and link are filled in, so all shifts there sit together in your records.
  • Tax invoices: the workplace name and address appear in the “To” block of the invoice PDF, pulled straight from the record. Its contact email pre-fills when you email the invoice.
  • Earnings: you can see how much you have billed each workplace, since every shift and invoice is tied back to the record.

The Organisations page also surfaces useful tiles at a glance: your total number of workplaces, shifts this month, invoices outstanding, and the date you last worked a shift anywhere.

State and rural classification

Workplace records can carry an Australian state and a Modified Monash Model (MMM) rating from 1 to 7. The MMM rating is the standard the Commonwealth uses to grade how rural or remote a location is, and it underpins eligibility for rural workforce incentives. Recording it against a workplace means the location context is there when you look at where your work sits. Editing and deleting

Click Edit on any workplace to open a slide-out panel and change the name, type, address, contact, or notes. Changes apply immediately to future bookings and invoices. Invoices you have already generated keep the details that were current when they were raised, so editing a workplace never rewrites historical paperwork.

You can also Delete a workplace, but only if it has no shifts and no invoices attached. If a workplace has any history, Sessional blocks the delete and tells you how many shifts and invoices are linked. This protects your records: a workplace tied to real billing cannot be quietly removed. If you want to retire a workplace you still have history with, mark it in the notes field rather than deleting it.

Important

Each workplace name has to be unique within your account. If you try to add a second record with a name you already use, Sessional rejects it as a duplicate. For a health service with several sites, give each one a distinguishing name (for example by suburb) so they stay separate.

Frequently asked questions

Is there a limit on how many workplaces I can save?
No. You can save as many workplaces as you need on any plan. There is no cap on the number of organisation records.
Why can I not delete a workplace?
A workplace can only be deleted when it has no shifts and no invoices attached. If it has any history, the delete is blocked to keep your billing records intact, and Sessional shows how many shifts and invoices are linked. Use the notes field to mark it inactive instead.
Do I have to enter the workplace ABN?
No, the ABN is optional. It helps identify the workplace and is convenient for your records, but it is the workplace’s number, not yours. Your own ABN is the one that has to appear on the tax invoices you raise, and that lives on your profile.
Does editing a workplace change my old invoices?
No. Invoices already generated keep the name and address that were current when they were raised. Edits only affect bookings and invoices you create afterwards, so your historical paperwork stays exactly as it was sent.
Will my workplaces sync to Xero?
