Choose the right shift rate basis

Record how the workplace agreed to pay you, then let Sessional calculate one consistent total for the shift, invoice and earnings ledger.

What the rate basis controls

When you log a shift, the rate basis tells Sessional what your entered rate means. It is not just a display label. The basis controls which extra fields appear, how the shift total is calculated, and how the amount flows into an invoice, earnings view, tax planner and super tracker.

Choose the basis that matches the agreement with the workplace or agency. If the arrangement later changes, use the shift edit action before invoicing. Sessional records the figures you provide and performs the arithmetic, but it does not verify the rate, hours, billings or agreement.

Daily

Use Daily when one agreed amount covers the whole shift. The total is the daily rate, adjusted by any stored penalty multiplier. Start and end times still describe the booking, but working a longer or shorter span does not automatically change a daily total. If the parties agree a different amount, edit the rate itself before invoicing.

Hourly

Use Hourly when pay depends on time worked. At first, Sessional calculates the total from the elapsed time between the start and end times multiplied by the hourly rate. After delivery, Record actual hours can replace that elapsed-time figure without changing the booked times. The invoice then uses the recorded hours and hourly rate.

Per session

Use Per session when the agreement sets an amount for each counted clinical session or work block. Enter the rate per session and the session count. Sessional multiplies those two values, then applies any stored penalty multiplier. The count must represent the basis agreed with the payer, not the number of patients seen unless the agreement expressly says so.

Percentage of billings

Use Percentage of billings when your pay is an agreed share of revenue. Enter the agreed percentage when logging the shift. Enter the billing revenue once it is known, usually after delivery. The total is the billing revenue multiplied by the agreed percentage, with any stored penalty multiplier then applied.

A percentage shift with no billing revenue shows Billings pending and cannot be invoiced yet. Add the revenue from the shift detail or delivery flow, review the calculated total, and only then create the invoice. Percentage of billings is your pay basis. It is separate from a service fee that you might pay a workplace under a direct-patient-billing arrangement.

Changing the basis later

Open the shift and choose Edit rate and times. Switching basis clears inputs that no longer apply, so a former session count does not leak into an hourly total and old billing revenue does not affect a daily shift. Review the before-and-after total before saving.

You cannot change the basis while the shift is on a draft, issued or paid invoice. Delete a draft first. Issued and paid invoice records remain locked. The full rules are in theediting and deleting shifts guide.

Frequently asked questions

How is an hourly shift total calculated?
Sessional first uses the elapsed booked time multiplied by the hourly rate. If you record actual hours after delivery, those hours replace the booked duration for the total.
Why does a percentage-of-billings shift say Billings pending?
The agreed percentage is known, but the revenue it applies to has not been entered. Add the billing revenue after delivery before creating an invoice.
Can I change from daily to hourly after logging the shift?
Yes, while the shift is editable and has no invoice line. Open the shift, edit the rate and times, choose hourly, enter the rate, and review the new total.
Does Sessional verify the rate or billing revenue?
No. Sessional records the figures you provide and calculates the total from them. Confirm the agreement and source figures with the workplace or payer.
