Edit or delete a shift you logged

Correct the times or pay basis, record the hours you actually worked, or remove an unwanted shift without letting an invoice disagree with your ledger.

Correcting rate and time details

Open Shifts, choose the shift, then use Edit rate and times. The editor lets you change the start and end times, agreed rate, and rate basis. Depending on the basis, you can also correct the session count for a per-session rate, the agreed percentage of billings, or the billing revenue used to calculate your pay. Times are entered in the workplace's timezone, which matters when the workplace is interstate.

Before you save, Sessional shows the old total and the recalculated total. Saving updates the shift ledger and the downstream earnings figure. It does not rewrite an invoice line that already exists, which is why the invoice locks below are strict. For a breakdown of each calculation, see choosing a shift rate basis.

Recording actual hours after delivery

An hourly shift starts with the hours implied by its booked start and end times. After the work is delivered, use Record actual hours if you finished earlier, stayed later, or took an unpaid break that changes the billable time. This records the hours actually worked and recalculates the total at the agreed hourly rate. It does not change the booked start and end times, so the original schedule remains visible.

Actual hours can be recorded while an hourly shift is delivered or invoice ready and is not on an invoice. Do this before creating the invoice so the line amount is built from the final hours. Daily, per-session, and percentage-of-billings shifts do not show the actual-hours action because their totals use different inputs.

Why some shifts are locked

If the shift is on a draft invoice, delete that draft before editing the shift. You can issue the draft instead, but an issued invoice keeps the shift locked. Paid shifts and cancelled shifts are final records and do not expose the editor. These locks keep your shift, invoice, earnings, GST and BAS records aligned. Sessional records the changes you make, but it does not verify the hours, rates, billings or payments you enter.

Deleting a shift that should not exist

Delete is for a row that was added by mistake, not for work that happened. It is available only while a shift is Offered or Confirmed and has no invoice line. Open the shift and choose Delete shift, then confirm the permanent removal.

A delivered, cancelled, invoiced or paid shift cannot be deleted. If confirmed availability was reserved for the deleted shift, Sessional releases that time. If the shift came from a booking request, its linked booking record is removed too. Use Cancel shift, rather than delete, when a real booking was agreed but will no longer go ahead, because cancellation preserves the operational record and any agreed cancellation terms.

Frequently asked questions

Can I edit a shift on a draft invoice?
No. Delete the draft invoice first, then edit the shift and create a fresh draft. You may issue the draft instead, but the issued invoice will keep the shift locked.
Can I edit a shift after its invoice is issued or paid?
No. A shift on an issued or paid invoice is locked so the invoice and shift ledger cannot disagree. Use the invoice correction workflow where it is available.
Does recording actual hours change the booked times?
No. It stores the actual hours used for the hourly total while leaving the scheduled start and end times intact.
When can I delete a shift?
Only when it is offered or confirmed and has no invoice line. Delivered, cancelled, invoiced and paid shifts cannot be deleted.
